External speakers

 

UoB and UBU define external speakers as anyone who is not a UoB student or staff member, who would attend and have an active role in your club/group. External speakers must be approved by UBU and UoB before they can attend an event or session that are on campus, off campus or online.

External speakers who are being paid to deliver a session may be required to have their own public liability insurance and sport coaches need to register using the coach registration and coach agreement documents.

Examples of external speakers;

  • Coach for sports training
  • Lecturer from another university
  • Guest speaker from another organisation
  • UoB alumni
  • Faith advisors or service leaders
  • Event hosts and DJs

 

What you have to do:

  • Get their name, organisation and contact details
  • Get details on what they’ll be doing or speaking about 
  • Think if this speaker/topic would be on something controversial, attract a large attendance or media attention 
  • If yes, then plan how you will manage the risks associated or justify it 
  • Check if they’ve been prevented from coming to UoB or a similar establishment before 
  • Ask UBU events if you’re not sure
  • Find out if they’ve previously expressed views, or been affiliated with an organisation that expresses views, which may breach of any UoB or UBU policy
  • If they are leading an event or event with a physical risk, such as a sports coach or choreographer, get their public liability insurance 

 

Approval

Collect all the info above and submit details via the events registration form or on the regular sessions registration form. Send any additional documentation to ubuevents@bradford.ac.uk 

UBU and UoB requires 2 weeks notice of their attendance

Working with external organisations

This could be a company that you’ve booked to run an event that you are promoting, external contractors who are supplying a service like inflatables or an organisation which is collaborating with you 

  • Who is doing which tasks, and who is responsible for what, needs to be clearly split between the organisation and you and written down 
  • UoB and UBU need to know details of what they are doing 
  • For companies, we need their public liability insurance and sometimes their risk assessments 
  • Some organisations/speakers come with a booking agreement or contract.
  • Make sure it’s addressed to UBU 
  • Send it in for us to check and sign on your behalf
